The Musicians' Union represents over 30,000 musicians working in all sectors of the music business.

As well as negotiating on behalf of our members with all the major employers in the industry, we offer a range of support services for professional and student musicians of all ages and backgrounds.

Key to our operations are our regional offices, including the London Region, based in Clapham Road, where we have a vacancy for a Regional Administrator.

In the role of Regional Administrator, you will play a vital part in the effective delivery of services and support to our members by providing a comprehensive administrative support service to our small team.

Your responsibilities will include managing office systems and resources, dealing effectively with a wide range of enquiries, organising and supporting meetings, and providing organising and administrative support for activities to recruit and retain members.

You will have significant experience of general administrative tasks, such as resource management, minute-taking and dealing with correspondence.

You will be highly organised and motivated and will need to use your excellent IT and communication skills in our busy office. 

You will have experience of working co-operatively and flexibly and be able to deal confidently with a wide range of people. Knowledge of the music industry or the trade union movement would be an advantage, but is not essential.

The position attracts a competitive salary, along with a contribution towards a personal pension scheme.

Although working a basic 37½ hour week, the demands of the job are such that you may need to be available for work outside normal office hours, for which time off in lieu is available.

The annual leave entitlement is 30 days, excluding public holidays.

Role

To play a full and effective role in the London Regional Office team’s delivery of services to members, by the provision of;

  • an initial contact point for external contacts
  • an initial response to queries and to give non-specialist advice.
  • a customer care service to members in order to assist in recruitment and retention activities.
  • a range of local administrative services.


Main Duties

Services and benefits to members

  • Provision of a first point of contact for members via email, telephone and website.
  • Administration of membership services including Legal Advice and Assistance, Contract Advice and Partnership Advice applications.
  • Issuing and processing Benevolent Fund applications.
  • Provision of information to members and potential members on MU services and benefits.
  • Logging and processing activists’ expenses claims.

 
Administrative support

  • Administration and support of member events and recruitment initiatives.
  • Supporting the preparation and distribution of Regional Committee papers, taking minutes, and following up action points.
  • Acting as a point of contact and liaison with suppliers and non-members.
  • Ordering and maintaining supplies of stationary and MU promotional materials.
  • Ensure functioning of office equipment.
  • Dealing with incoming and outgoing post.
  • Processing invoices.
  • Maintaining filing and archiving of casefiles and documents.
  • Purchasing office supplies and incidentals.

Person Specification

The successful candidate will be able to demonstrate;

  • Extensive experience in providing administrative support in a team environment.
  • Excellent organisational skills.
  • The ability to effectively prioritise tasks.
  • The ability to work to deadlines.
  • The ability to work as part of a team as well as individually.
  • Good attention to detail.
  • Sound IT skills.
