Leading virtual reality company seeks an enthusiastic and organized Executive Assistant to provide support to both the COO and the CEO. The ideal candidate will come from a Music or Entertainment background and have previous experience supporting a high-level executive. Must be very efficient and highly detail-oriented; good at multi-tasking and working on tight deadlines in a high pressure environment. No task is too small and no challenge too great. A “can-do” attitude and passion for the music industry are essential.
Responsibilities & Tasks
- Arrange meetings and conference calls via telephone and email
- Manage/update calendars
- Coordinate and prioritise incoming verbal and email requests?
- Maintain a strong working knowledge of artists, content roster, employees, and important external contacts
- Work closely with other executive assistants and interns to cover responsibilities in the office including but not limited to
- Order office supplies
- Promptly address any IT/office issues
- Handle administrative duties
- Book travel, accommodations, & car services, Track vacation for salaried employees, make restaurant reservations, and approve expenses. Process travel & entertainment expenses.
- Proactively prepare the executives for meetings
- Greet meeting participants/guests
- Order and set-up food service for meetings
- Create and send correct internal/external company communication. Archive and organize emails by topic and keep apprised of ongoing deals
Job Requirements:
Skills/Abilities:
- Happy to interact comfortably and effectively with all employees at all levels especially Senior Management and for companies/clients we deal with/liaise with.
- Outstanding organization, time management skills, follow-through and attention to detail.
- Proactive, self-motivated and resourceful, shows ability to work at a high standard without supervision.
- Flexible – able to adjust to changing priorities, and able to multi-task
- Excellent written and verbal communication
- Strong proficiency in Microsoft and Apple products including, MS Office etc. A knowledge of Virtual Reality products is preferred but not required.
Experience:
- Minimum 3 years of experience supporting an EVP, President or other high-level executive with discretion and confidentiality. Experience supporting more than one senior executive is preferred but not required.
- Music or entertainment experience is preferred.
- Minimum degree requirement: Bachelor’s
