The Executive Assistant will support the Managing Director in all aspects of the business, including artist management, independent record label, music publishing, clothing line and charity.

Responsibilities:

  • Assisting with planning and implementation of artist music campaigns, including global release schedules, promotional/social media plans, press, marketing, international touring.
  • Assisting with artist brand development – non-music related activities; film, fashion, tv, charity
  •  International diary management across multiple artists and time zones, including complex promotional schedules, travel bookings, visas, accommodation, re-location and itineraries
  • Acting as key point of contact for all third parties, filtering information as necessary to the managing director and often acting as a central point for third parties to communicate/exchange information – record labels, music publishers, live booking agents, lawyers, accountants, merchandise, touring, brands, PR, producers, agents.
  • Budget management for specific projects and assisting with budget submissions, negotiations with third parties.
  • Efficient regular communication and information flow with artists ensuring confidentially and discretion at all times.
  • Assisting artists with completing and delivering promotional requests.
  • Acting as key management representative for artists on location when managing director isn’t present, including promotional activities, photo shoots, tv shoots, events.
  • Liaising with artist PA’s and supporting artist personal requirements where necessary
  • Assisting with recruitment, salary negotiations and daily management of touring personnel, grooming and styling teams.
  • Overseeing and implementing large brand endorsements from contract to completion, liaising with agents, clients and the artist involved.
  • Responsible for tour merchandise, liaising with artist day-today manager and merch company to plan, design and produce large tour ranges for global distribution.
  •  Event management to include overseeing guest lists, production and logistics.
  • Working alongside product manager to implement independent record releases.
  • Reviewing and signing off contracts with third parties, including producer agreements, feature agreements, deal memos, live bookings, release forms, NDA’s, disclaimers.
  • Reviewing and approving sync/license requests for all artists
  • Relationship management with artists, brands, key contacts, third parties – planning and executing experience and gifting initiatives.
  • Music administration – overseeing artist and internal record label PRS/PPL accounts/ ISRC Codes/Label copy are kept up to date, ensuring new registrations are delivered to publishers and entered on PPL system.
  • Overseeing patent and trademark registrations for the company and artists
  • Assisting with planning and implementation of the clothing line, including pop ups, launch parties, D2C set-up, research, sales reports.
  • Assisting with development and growth of the business group and brand
  • Assisting with development and implementation of the charity initiatives
  • Email management for the Managing Director.
  • Contributing to planning/brainstorming meetings
  • Attending meetings with the Managing Director and taking minutes/actioning as necessary.

 

Requirements:

  • To be flexible and available to work unsociable hours during the week/weekends and travel at short notice
  • A proactive problem solver, using initiative to foresee and resolve potential issues in an efficient and timely manner
  •  Highly adaptable in a fast moving/ continuously changing environment
  • Extremely high attention to detail, ensuring there are no ‘gaps’ or room for error
  • Ability to work under very high pressured situations
  • Excellent communication skills, verbal and written. Must be approachable and able to liaise with a large and varied contact database.
  • Excellent social awareness/ability to act respectively and sensitively in a wide range of situations
